Everyone Talks About TA Strategy & Workflows. I'm Building an AI Bot to Help Them
This week in the Holistic Recruiter Club #040
Hey everyone
I hope those of you in Europe are enjoying this glorious weather and those in the States you are managing to keep cool too! Now I ask a lot of you, to keep reading each week to challenge yourself but I have some think I’d like this week. I would love to get to 300 subscribers before the next article, that’s 9 more people like you, so if you know anyone who needs to see and read this newsletter, please share with them using the button below. Thank you :)
Over the last couple of weeks I’ve been experimenting again. But instead of just writing about frameworks and strategy, I built something.
A working AI prototype. Well I have to be very clear and honest, I have managed to create a chatbot agent that references certain instructions and for the moments its effectively like a GPT if you know what one of those are. But the plan is to take it to the next step. The most important part is that the API is set up, the instructions work so I would say v1 is a success, even the json code I needed works!
Check out what I’ve worked on here. I will share the progress of each article from now!
The goal is to help TA’s think critically but not give all the anwers and help them learn and grow.
So I decided to share the progress step by step. more of that later
I'm also excited and happy because the first module of the training was conducted this week, and it was a lot of fun. We talked about recruitment systems, Outcomes and Outputs, Correlation, Causation & started by mapping an entire recruitment process. Identifying bottlenecks and opportunities! Playing with AI
The first stage was picking an easy-to-use tool. I considered many options, but Retool was my final choice. It's super easy to use, has workflows that you can build, is easy to connect with your LLM of choice, and it has a SQL database if you need to reference things.
So my V1 was this: -
How might I create an AI Agent in the form of a chatbot?
Have a web interface
Connect to AI
It should use my 4’s Framework for TA strategy:-
→ See → Sense → Shape → Strengthen. It should encourage you to think
It should also connect to the Recruitment Metrics Bible , which I created to use as a source for any related metrics that could help.
What I’m Thinking Next
Right now, it helps diagnose broken workflows and come up with a strategy to move forward. But this could evolve into a broader Recruiter Ops Assistant.
Here’s what I’m considering next :
Upload documents (job specs, intake notes, CVs) and get insights
Providing more operating context
Connect to the Recruitment Metrics Bible to benchmark and reference real KPIs from your ATS or spreadsheets
Provide workflow recommendations based on stage, volume, and conversion data
Once that version is done i will try and see how be can incorporate audio and other elements using things like heygen to have an interactive avatar
But I don’t want to build in a vacuum. Add your feature ideas in the comments!
What would you find genuinely useful in a tool like this?
Comment, reply, or DM me. If there’s enough interest, I’ll set up a small user group to test v2.
Metrics Spotlight: Time to Fill
Get access to the Free Recruitment Metric Bible
Time to Impact
Hiring Quality & Performance
Most common definition
Time taken for new hires to make meaningful contributions
How is it calculated?
Date Full Contribution Achieved - Start Date
Why it matters
Shows how quickly new hires deliver value; ties hiring success to business performance
Common mistakes
Confusing productivity with contribution, not aligning definitions across teams
How to improve it
- Improve onboarding
- Set clear KPIs for early contributions during the job intake meeting
- Regular check-ins to assess progress. You can consider having all the KPIs before you start hiring.
Best recommended visualisation
Bar Chart, Line Chart, Milestone Chart
Why use these charts?
Line and Bar for trends over time; Milestone to highlight when value is achieved
